Terms of Service

Please read these terms carefully. By registering for SaferVisit or using the SaferVisit app or web portal, your organisation agrees to be bound by these terms. If you do not agree, do not use the service.

2. The service

SaferVisit provides a software platform that enables care organisations to track visit check-ins and check-outs, receive worker safety alerts, log visit notes and welfare information, and manage worker and client records.

SaferVisit is a technology platform only. We do not provide care services, regulate care delivery, or guarantee the safety of any worker or service user. Responsibility for all operational procedures, risk assessments, alert responses and care decisions rests entirely with the subscribing Organisation.

3. Accounts and access

Registration

To use SaferVisit, an Organisation must register an account by providing accurate and complete information. The individual completing registration confirms they are authorised to enter into this agreement on behalf of the Organisation.

User accounts

Roles

SaferVisit uses role-based access: workers see only their own visits; admins see their organisation's data; owners manage billing and settings. You are responsible for assigning appropriate roles.

5. Your data

Your Organisation retains ownership of all Content you submit to the Service. By submitting Content, you grant SaferVisit a limited licence to store, process and display that Content solely for the purpose of providing the Service to you.

You are responsible for ensuring you have the legal right to collect and process the personal data you enter into SaferVisit, including obtaining appropriate consent from workers and notifying service users as required by UK GDPR and the Data Protection Act 2018.

On termination of your account, we will make your Content available for export for 30 days, after which it will be deleted in accordance with our Privacy Policy.

7. Availability and support

We aim to provide a highly available service but do not guarantee 100% uptime. Planned maintenance will be announced in advance where possible. Unplanned outages will be communicated via our status page.

Support is provided via email. Response times depend on your plan. We do not guarantee response times on the free plan. Growth plan customers receive priority email support. Enterprise customers receive a formal SLA.

The Service is not intended to be the sole means of worker safety management. Your organisation must maintain independent emergency procedures that do not rely on the Service being available.

8. Intellectual property

SaferVisit, its software, branding, design and documentation are owned by SaferVisit Ltd and are protected by intellectual property law. You may not reproduce, distribute or create derivative works from our intellectual property without written consent.

We may use your Organisation's name in our customer lists and marketing materials unless you notify us otherwise in writing.

9. Limitation of liability

To the maximum extent permitted by law:

Nothing in these terms excludes liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

10. Platform tool disclaimer

Important: SaferVisit is a technology platform, not a care management authority. The Service provides tools to help organisations manage visits and respond to alerts — it does not guarantee that alerts will be responded to, that workers will be safe, or that care will be delivered appropriately. All responsibility for alert response procedures, worker safety policies, risk assessments, and care delivery rests with the subscribing Organisation.

Organisations using SaferVisit should ensure they have independent procedures for worker safety that do not solely rely on this platform, including alternative means of contacting workers and escalating emergencies directly to emergency services where appropriate.

11. Termination

Either party may terminate the agreement at any time:

On termination, your access to the Service will cease. Data will be retained for 30 days to allow export, then deleted per our Privacy Policy.

12. Changes to these terms

We may update these terms from time to time. We will notify your account administrator by email of material changes at least 14 days before they take effect. Continued use of the Service after the effective date constitutes acceptance of the updated terms. If you do not agree to the changes, you must close your account before the effective date.

13. Governing law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
